Ceremony Wedding

 

If the ceremony takes place at the C&T - the registrars will arrive 30mins prior the ceremony and will require to have the interview with Groom and Bride 15 mins prior the actual ceremony.

IF the groom and Bride don't want to see each other prior to the ceremony; Groom to have the interview in the Barn and Bride in her hotel room if she stays with us.

If the Bride does not stay with us please speak with her to arrive in the reception 20mins prior the ceremony start time.

Please advise the car she's coming in to pull at the front and get someone to let us know when she arrived to make sure we keep her clear from everyone else - site to manage BUT guests to be aware of what the actual plan is- please communicate at all times

Music for Ceremony

 

Guests have the option of bringing a violinist, band etc for ceremony - entirely up to them as long as we receive the PLI.

If guests decide to bring a playlist they can connect to our music system using our JACK3.5MM connector (please note for IPHONE they require an adaptor - guests to provide).

On the day guests to inform us the walk in song, we will require 3-5 songs for signing the schedule and 1 song for the walk out.

Drinks Reception

 

After the ceremony if guests chosen to have a reception drink we will set it up - if weather permitted we will set it up outside, if not, back into the main bar.

On the day we will inform Bride and Groom that for the walk out; if sunny and nice via the glass doors into courtyard if rainy to walk in the main BAR. Walking out in the Minstrels does not work as the bride and groom will be walking towards the toilets - not nice

Wedding Breakfast Set-Up

 

After the ceremony we ask the guests to leave the room - normally bride and groom go out for pictures in the Abbey Park and we then set the room according to agreed layout - to be received at least 1 week prior the wedding day.

For Decorations - If simplistic (candle, flower, table runner) we are happy to do it however WE MUST receive a picture of how they want the decorations on the table prior from the guests and all the decorations to be boxed as per the table plan.
e.g. Decs for Table 1 in a Box, Decs for table 2 in another box and so on - so we will know exactly which decs go where on the day.

1.5h turn around is tight - always think operations before agreeing to anything.

Guests to Provide

Place Cards

 

At least 1 week prior we should receive from the guests a sitting plan - who sits where with the food choices.

We also require name cards which we will put out following the table plan they have provided but the guests MUST write each guests food choices at the back of the name card- service is so easy and smooth. People tend to forget what they have ordered and this will help massivelly.

Example: table 1 John - soup - seabass - brownie. Marrie - soup - pasta - STP Table 2 - Eduard - Soup - seabass - pannacotta and so on

Wedding Breakfast Service

 

Depending on the agreed wedding package.

If bespoke menu, clear communications must be between all parties involved to know exactly what we have to deliver on the day!

Make it clear please - add the garnish if needed on the notes

We will serve the wedding breakfast accordingly to time agreed.

One manager on the pass will call the dishes table by table and staff will run the food.

It is crucial we have people sitting at the same table as per the table plan otherwise everything will go wrong if not.

Guests

Speeches

 

Please communicate with the guests and find out when they wish to have the speeches - normally after dessert but we are flexible.

We need to know in advance in order to prepare the glasses for the bubbles as part of the package - this is included.

Clear the room

 

Once the speeches are completed and guests are finished eating; we will need the guests to vacate the room - we will then remove all furniture apart from 1/2 tables depending on what the guests want and create space for dancing.

Time required 1h at least.

Wedding Cake and First Dance

 

Once the room is clear we normally bring the cake in the middle of the Barn while DJ or Band set up

When ready guests will come in - cut the cake and jump into first dance.

If guests want this in a different order FINE, we can be flexible but we need to know EXACTLY.

Buffet

After cake cutting Site sets up the Buffet which ideally is in the Minstrels. No earlier than 8pm please and no later than 9:45 please

If the guests want's to stay later a charge of £90 required. Last orders at 00:40
Everyone out at 01:00

Extra £90 if stay until 1AM

 

wHAT WE REQUIRE FROM GUESTS AND WHEN

  • Drinks Packages - 1 week prior

  • Food Options - including canapes, wedding breakfast and buffet options (exact orders and quantities) - NO LATER than 7 days prior

  • Decorations boxed up with allocated tables + name cards with customer’s food choices on the back - Week of the Wedding

  • Music Device, Cake Allergens and Liability Insurance Certificate - Week of the Wedding

  • List of names for the Hotel Rooms if booked (who goes in which room) when hotel rooms are all confirmed and booked. Also need to know any extras to be allocated (z-bed, kids, dog etc.)


Do’s & Don’ts

DO NOT:

  • Agree and commit to something extremely challenging or you’re not sure site can accommodate. e.g. 70 cocktail reception at 7pm Saturday Night. Think and check if we have the right tools - like ask site if they’ve got 70 jugs.

DO:

  • Flexible with the menus - try to cater for everyone. Any changes on the menus should be chargeable. Discuss with GM/Head Chef if doable.

  • Wedding Tasting Notes MUST be uploaded on documents after each tasting. All info from the guests that will impact the day must be added.
